How yourcommunityservice.com collects, uses, and protects your personal data.
Who we are
yourcommunityservice.com is a service operated by Waretech Services LLC (“we”, “us”), the data controller for the personal data described here. We are a Kentucky, USA company, registered at 1144 Landing Meadow Dr, Henderson, KY 42420. We help people record their community-service contributions and roll that credit up to the communities and organizations they belong to.

What we collect and why
We practise data minimisation — we collect only what the service needs. Your account identity comes from Waretech SSO when you sign in; everything else is what you choose to record in the app.

We do not collect location/GPS data, device fingerprints, or browsing history beyond normal server-side routing, and we do not sell your data or use it for advertising or third-party tracking.
Legal bases for processing
- Performance of a contract — for your account and the core features you sign in to use (memberships, events, your own contributions).
- Legitimate interests — for security, reliability, and abuse-prevention logging, and for recording a contribution that names a third-party beneficiary. You can object to legitimate-interest processing (see your rights below).
How long we keep it
- Account & app data — kept while your account exists. On deletion it is soft-deleted, and on an erasure request your personal fields are anonymised while non-personal records (e.g. events) are retained.
- Logs and traces — expire automatically (logs within about 30–90 days, traces within 7–30 days; ingress IP logs within about 30 days).
- Backups — retained for about 30 days. A backup taken before an erasure request may briefly hold pre-erasure data; if we restore such a backup we re-apply the erasure.

Who we share it with
The service, its Waretech SSO sign-in, and its hosting are all operated by Waretech Services LLC on our own self-hosted infrastructure, so your data stays within our own systems — we do not use external cloud processors. We do not sell it or share it with third parties, except where we are legally required to.
We are based in the United States and process your data there. yourcommunityservice.com is a US service and isn’t specifically directed at people in the EU or UK; if you choose to use it from outside the US, your data is processed in the US.
Within the service, other members of a community or organization can see your display name and your membership within it.
Cookies
We use only the cookies needed to sign you in and keep the app working (authentication, anti-forgery protection, and load-balancing) — no advertising or tracking cookies. See our Cookie Policy for details.
Your rights
We give everyone the same controls over their data, and where data-protection law in your country (such as the UK/EU GDPR) grants these rights, you can rely on them too. You can ask us to:
- Access a copy of your data, or receive it in a portable format.
- Rectify inaccurate data (profile fields are corrected at Waretech SSO and re-synced on your next sign-in).
- Erase your data (“right to be forgotten”), subject to lawful exceptions.
- Restrict or object to processing based on legitimate interests.
Email privacy@yourcommunityservice.com and we will respond within 30 days. Because sign-in is delegated to Waretech SSO, erasing your data here does not erase your SSO identity — we will forward that part of the request to the SSO team.
Complaints
If you have a concern we haven’t resolved, you can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk, or to your local data-protection supervisory authority.
